Be Prepared……….
We have heard that statement over and over again. I know we want to be prepared, but what are the hidden obstacles that may doom us to failure? Today, I would like to share with you what they may be when it comes to preparing a meeting budget. It is essential that you consider all factors, such as:
|
Taxes* |
Tips & Gratuities* |
Support Materials |
|
Printing |
Postage |
Signs |
|
Name tags/badges |
Meeting room charges |
Food & Beverage |
|
Audio/Visual |
Labor |
Supplies |
|
Telephone |
Speaker Fees |
Contingency Fund* |
I have placed an asterisk by the three most forgotten budget expenses. Tax and gratuities for meals can add more than 25% to your food bill. Thirdly, be sure to plan for the unexpected. It never hurts to allocate a contingency fund, perhaps 5% to 10% of your total budget. If you need it, it’s there; if you don’t, you come in under budget!
We have a budget planner worksheet. Contact us and we would be happy to share it with you.

Meeting Success Stories
April was another successful month for Project Management Institute, The Great Lakes Chapter (PMI-GLC). For the tenth year, they conducted their Spring Symposium which drew over 400 attendees. The timely topic was “Innovate or Adapt? The Challenge of New Decade”. We are proud to have PMI-GLC as a client of Meeting Coordinators, Inc. for the past 11 years.
For those of you who were not able to attend this symposium, let me give you a recap:
Today’s business climate is fraught with peril and the status quo is infecting teams. Fear is rampant and judgment is skewed — is this event a crisis or an opportunity? Whether it’s the economy or the circumstances we are in, one thing is clear: it never has been more important to innovate. Change involves moving from one condition to another. But change is not necessarily innovation. Innovation means taking creative ideas and making them real, implementing them. Innovation is not just releasing new products. It also encompasses implementing new business processes, fresh ways of doing things, radical alliances, brilliant new routes to market and business strategies. Some focused merely on survival will fade away but others focused on innovation will emerge and grow to greatness.
This new decade demands innovation more than ever. Outsourcing, bailouts, stimulus spending, restructuring, mergers and acquisitions were sort of innovative ideas of last decade. For the country, innovation is a source of increasing wealth in the economy. To businesses, innovation can increase productivity through improving quality, efficiency, production, etc. All businesses, no matter what their field of expertise, can and must innovate. Project Managers are key influencers in the innovation and can unlock the extraordinary power of innovative change.
